My Account

The My Account section allows users to manage and personalize their Xtracta experience. From here, you can update your profile information, set preferences such as language and time format, configure security settings like Two-Factor Authentication (2FA), and manage API keys. You can also view your assigned groups, set your primary group, and review workflows and permissions linked to your account.

This section contains a form that can be used to change user’s Profile Picture, Name, E-mail Address, Company Name and Phone number.

When updating your password, Xtracta enforces a secure format: your new password must be at least 8 characters long and include at least one number and one special character.

Preferences

In this section, users can customize how they view and interact with the Xtracta portal:

  • Language: Sets the portal language. Currently, only English is supported.
  • Locale: Determines how time is displayed when viewing documents, such as in File Tracking, Received Time, and Last Activity.
  • Datetime Format: Allows users to choose their preferred time format for displaying recorded timestamps in the portal.
  • Scroll on Tab Press: When enabled, users can navigate between fields in the ELS using the Tab key on their keyboard.

Security

QR Code Login

To access the Xtracta Mobile App, users must log in with their username and password. This section provides a QR code that can be scanned to log in quickly. The QR code expires every 60 seconds. However, once logged in, the user will remain signed in and will not be logged out automatically.

User API Key

Xtracta provides API keys for both users and groups to authenticate API calls. This section is only accessible to the currently logged-in user, and the API key displayed is linked directly to their account credentials.

Warning

API keys must not be shared in any public manner, including through email, chat, or other unsecured communication channels. These keys allow access to sensitive actions such as viewing, modifying, and deleting documents, databases, and plans.

Users can generate a new API key from this section if needed.

Two Factor Authentication (2FA)

Two Factor Authentication (2FA) adds an extra layer of security when accessing the Xtracta app. Each time a login is attempted, a unique six-digit code is required. Without this code, login will not be possible.

To activate 2FA, you’ll need an authenticator app that generates the six-digit code. While any authenticator app can be used, Xtracta recommends using a trusted option such as Google Authenticator, which is available on both the App Store for iOS and Google Play for Android.

2FA can also be enforced for all users within a group. If required, the Xtracta Team can enable this setting.

Enable 2FA

  1. Enable it by changing the slider from OFF to ON.
  2. This configuration requires the current password for the account.
  3. A QR Code will be provided, open the downloaded Authenticator App and use it to scan this QR Code.
  4. Once scanned the app will start to generate new codes every 30 seconds.
  5. To complete this process, enter the code showing on your app.
  6. After the code is entered the 2FA will be enabled and for every login it will be required.

Once enabled, 2FA will be required for every login.

After logging in, users have the option to “Trust This Device,” which will bypass 2FA verification on that device for the next 30 days. After this period, 2FA will be required again.

The options are described below:

  • Skip: Xtracta does not save any information about the device, so 2FA is required every time you log in.
  • Do Not Trust: Xtracta marks the device as ‘risky,’ and 2FA will be required at every login.
  • Trust: Xtracta marks the device as ‘trusted,’ allowing you to skip 2FA verification on this device for 30 days.

Disable 2FA

Xtracta recommends keeping 2FA enabled while the user remains active. If you need to disable it, please consult your local security policies before proceeding.

To disable 2FA:

  1. Toggle the slider from ON to OFF.
  2. Enter your account password to confirm the change.
  3. Provide the latest verification code from your authenticator app.
  4. Once verified, 2FA will be disabled and no longer required at login.

Recover 2FA

If you lose access to your authenticator app, you can recover your 2FA by using your registered email address.

Disable a User’s 2FA (Admin Only)

Administrators have the ability to disable 2FA for other users, which is useful if a user has lost access to their authenticator app.

  • Navigate to the Admin tab and open the Users section.
  • Search for the user and select Disable 2FA.

Assigned Groups

In this section, users can view, search, and edit the groups they belong to.

  • Primary Group: Identifies the main group the user belongs to, especially when multiple groups or subgroups exist within Xtracta.
  • Super Admin: Users with this status have full permissions to manage workflows, users, groups, and databases.

This section displays all workflows assigned to the user along with their associated permissions.

By default, users are not assigned to any workflows. An administrator must grant workflow permissions and configure access to queues and features.

Administrators have full access to workflows, and when assigned, their role will be shown as Workflow Admin by default.
